What to do at the Link:




General
 
Also needs to be done by one of the setup team (welcomer, kids or adults snacks):
  1. Put toilet paper, pink towels and hand soap (supplies on bottom shelf of cupboard in vestry)  in toilets – check cleanliness & clean if necessary
  2. Put out a few kids toys for 16:00-17:00 and then put them back in vestry storeroom
  3. Light candles on ledge around 17:00, blow them out after the service


Kids Snacks

Pre home -
  1. Buy/bring from home:
  2. Make sandwiches (12) – some cheese/ham, cheese only, ham only
  3. Dice veggies/fruit

Pre (approx 16:15 – 16:45)
  1. Stack ~5 rows of chairs, put down 1-2 mats for kids to sit on
  2. Setup 2 tables (one foldup table for coffee & cookies and one rollup table for kids food)
  3. Get from cupboard in vestry at back of church (large empty plastic box on top of cupboard can be used to carry stuff):
  4. Assemble meal boxes – (napkin/sandwich/ portion control control chips & cookies)
  5. Set veggies/fruit selection
  6. Set drinks – some apple/orange/water
  7. Be ready to make/assemble extra sandwiches if required – (5-10)
  8. Pray
Kids food (17:00 – 17:30)

  1. Gather kids and say grace with them (with help from kids helper)
  2. Help kids line up and choose meal box, veggies, drink
  3. Supervise sitting eating on mat
  4. Get kids to finish eating, discard uneaten food (try to save boxes!), move kids over to front of alter for children’s song at 17:25
  5. Consolidate leftover food onto coffee table and pack up table (if not disruptive of service, otherwise wait until afterwards)
  6. Wipe off and fold kids mat

Post service (18:30 – 18:45 then go home and leave the rest to the cleanup team)
  1. Store non-perishables in vestry cupboard, inform Karen Yeowell or person next on the rota if things are missing
  2. Take home or give away left over drinks and food
  3. Pack up table if not done before service
  4. Submit receipts and expense form for purchases to Simon Hill


Adult Snacks

Pre home -
  1. Buy/bring from home:
Pre (approx 16:15)
  1. Stack ~5 rows of chairs.
  2. Setup 2 tables (one foldup table for coffee & cookies and one rollup table for kids food) and put on long flowered plastic tablecloth
  3. Plug in power cord for coffee/tea near front door, put cord under mat
  4. Get cupboard stores:
    1. Coffee urn, coffee, water, water heater for tea
    2. Tea, sugar, milk
    3. Cups, spoons, napkins
    4. Rubbish bin (blue) & liner
  5. Turn coffee urn (he’s called Ernie) on by 16:30 (it takes 1 min/cup to make coffee).  To make 25 cups coffee (normal service):  5-5.5 L of water + 3 cups (use a water/juice cup) of ground coffee
  6. Start tea water heating
  7. Set out cake/cookies/milk/spoons/sugar/tea bags/instant coffee (in case you run out!)/instant decaf coffee/donation bowl (optional) etc.
  8. Put as much back in the vestry cupboard as possible to save doing it after the service
  9. Pray
Coffee Serve (17:00-17:30)
  1. Serve coffee/tea/cakes/whatever
  2. Consolidate all coffee/food to one table just before service begins (Kids table is packed up)
  3. Coffee urn – empty coffee grounds in rubbish when stops perking (orange light turns on).  Wipe out with paper towel, rinse with water over drain in street outside
  4. Turn off urn and transfer coffee to the thermos at 17:25 for after the service.  Rinse urn outside and put back in his box.
Post (approx 18:45 – do as much as you can, then leave the rest for the cleanup team)
  1. Retrieve cups that can be cleaned if you don’t mind washing them and bringing them back, otherwise throw them away!
  2. Rinse milk jug, wipe off plates, store everything in vestry cupboard
  3. Store cupboard supplies – check quantities left – inform Karen Yeowell or person next on rota if stuff is missing
  4. Take home or give away left over perishable food
  5. Wipe off & fold table cloth, pack up table and put back in little hall next to vestry
  6. Submit receipts and expense form for purchases to Simon Hill


Welcomer

Before the service (16:15-17:00)
  1. Help move 5 rows of chairs and set up 2 tables for coffee & kids food
  2. Put 2 blue Link signs out – hang underneath the offical road signs, one for each side of Ave Baron Albert d’Huart.  The A2 poster board can just be rested against a pole nearby
  3. hand out name badges to the team
  4. Set Link pamphlet table – move St Dominics pamphlet table and set up various Link pamphlets, blue shoe box, sermon schedule
  5. Place welcome booklet, keep in touch card, pen/pencil out – put on every other seat in the middle two sections of chairs, plus some on the far side where musicians sometimes sit.
  6. Hang out black flyer rack (if not raining) – on the fence post at the bottom of the steps or by the front door – ensure a range of different pamphlets
  7. Pray
Coffee Time (17:00-17:30)
  1. Welcome people – particularly first timers & returning new people – introduce to others
  2. Drink coffee and eat cake
  3. At indication (or 17:30) – help round up kids for song/prayer and invite adults to sit down in the middle section of seating.
During Service
  1. Count attendees – make separate note of the number of kids, first timers (even if they are just visitors) and returning newcomers.
  2. Take collection (usually during last song – ask the service leader)
After Service (approx 18:30-18:45)
  1. Talk with newcomers – ensure someone has spoken with them
  2. Collect contact cards – get followup comments from Linker who meet with new comers/first timers
  3. Stand in vicinity of door to see people out
  4. Pass on attendance information and any notes/prayer requests to followup coordinator (Tania or Sean)
  5. Ensure collection counted  – need 2nd person to verify amounts, fill sheet
  6. Give collection to Sean or Simon
  7. Pack up - welcome booklet and unused keep in touch cards, replace St Dominic pamphlet table, collect name badges, take down blue link signs and black flyer holder
  8. Pray, particularly for newcomers or others who indicated a need.


Cleanup (2 people)

The folks involved with the kids snacks, coffee and welcoming will try to get as much of this done as possible before they leave.  Therefore, depending upon the day, some of the following may have already been done.

Welcoming Stuff
  1. Bring in blue Link signs from street and brochure rack and welcome mat from in front of the church – these are stored on the bottom shelf of St Doms bookcase by front door
  2. Collect brochures, sermon list, keep in touch cards, pencils from seats if they were put out – check if any contact information  - give cards to Followup coordinator (Sean or Tania)
  3. Sort brochures into plastic box – stored with blue signs by front door
  4. Collect name badges from Linkers and store in plastic box
  5. Put our white table by front door and replace St Doms brochure table
  6. Count collection (need second person), fill in sheet, give to Simon or Sean
Food
  1. Clean and fold kids mat, put in white vestry cupboard
  2. Put non-perishables in white vestry cupboard, make sure perishables are taken home by someone
  3. Place rows of chairs back
  4. Wipe off and fold up table cloths, put in white vestry cupboard
  5. Pack up tables and store in vestry store room or in the little hallway just outside
  6. Vacuum! (stored in vestry storage room, has extension cord in box)
  7. Take home garbage – lucky you!!  J  Blue bin can be stored near front door or on top of vestry cupboard.
Toilets
  1. Pick up toilet paper, soap, and hand towel from toilets.
  2. Toilet paper and soap is stored in a plastic bag on the bottom shelf of the white cupboard in the vestry.
  3. Hand towels can be brought home and washed (best  given to someone with a washing machine who will be at the service the next week).
  4. Lock downstairs
